The pre-approvals include (but are not limited to) the following:

  • Training location’s availability;
  • COVID status and/or other COVID Guidelines in effect for the location, as well as staff;
  • Agency limitations, scrutiny, and approvals of ‘Conference Spending Requirements (known as the “5170”)’ for the specific training course(s) scheduled delivery timeframe;
  • Weather (blizzard, hurricane, etc);
  • Contractual number of available course training slots;
  • EPA training location staff having priority registration over all other registrations; and/or
  • Hosting site Training Coordinator approval.

Registered students will receive a notification via email if/when a course is postponed and/or cancelled.

Notice: For in-person course deliveries, confirmed course registered participants must abide by all facility physical access requirements for the location (examples: check-in at the security gate, Federal ID, Government PIV/CAC cards, photo id’s, etc.).  If applicable for the course or location, restrictions may apply to non-citizens and acceptable identification may be required for facility entry.  Unless otherwise specified, ERTP TRAINING IS GENERALLY NOT OPEN TO INTERNATIONAL ATTENDEES, ACADEMIA, CONTRACTORS, CONSULTANTS OR OTHER PRIVATE ENTITIES.

"IMPORTANT NOTICES"  applicable to U.S. EPA Staff that are specific to this training course:

  1. EPA Staff - Please initiate your TA as soon as possible.
  2. Conference Spending Requirements (known as the “5170”) - are no longer applicable for most ERTP sponsored training courses.
  3. Ensure the travel spending line “Project Code” specific to this course is used on the TA & subsequent travel voucher is:  OLEMTRNG

The project code above is to be used for the entire duration of the ERTP-sponsored training.  For the TA and travel voucher, no other project/conference code is to be used for the ERTP sponsored training course dates.

  1. U.S. EPA staff/participant travel spending requirements*:
  • *EPA course staff participants are responsible for ensuring this code is used in the Site Project field under the Accounting tab in Concur. This code must be used for all travel authorizations, travel vouchers, and local travel vouchers related to this specific training course event.. For TA’s that were approved in advance, it is the traveler’s responsibility to ensure the TA is amended to add the correct project code(s) and/or MUST be added to the final Travel Voucher before it is routed for approvals. If needed, your office FCO/Funds Certifying Official can provide assistance to ensure the code is entered correctly in Concur.  Remember: ERTP’s training contractors are NOT involved in EPA’s internal travel spending “Project Code” processing or approvals. All EPA travel spending/Project Code related questions are to be forwarded to the EPA course POC and/or the EPA ERTP Contracting Officer Representatives (COR’s).
  • Because we are required to manage all EPA travel related costs to minimize costs to the maximum extent possible, please make every effort to reduce transportation costs and lodging costs and avoid use of car rentals whenever possible.  Ride-sharing and GOV use is preferred whenever possible.
  1. Approved ERTP-sponsored Group Training form – The Group SF-182 will be transmitted in a separate email to EPA staff only.  Attach the Group SF-182 to your Concur Travel Voucher (or Local Voucher Reimbursement request) if your office will use training $ funding line(s) on your Travel Voucher and/or if your offices requires it be attached to the TA and/or Voucher.  It is recommended to discuss with your FCO if there’s need to amend the TA prior to completing your Travel Voucher (to identify the above required project code).  Refer to the subsequent SF-182 email for additional details pertaining to the Group SF-182.

Important: The ERTP contractor is NOT involved in EPA’s travel spending, EPA’s approval processes, use of Project Codes for travel, and/or EPA’s SF-182 forms & approval processes.

If there are any questions/concerns about the contents of this email or the subsequently received SF-182 document, please contact Shelly Norland via Teams, or email: norland.shelly@epa.gov
